How to Use Special Reporting
NOTE: The Special Reporting is a subject to application configuration. This feature may be absent in your specific installation.
The Special Reporting feature streamlines the creation of key reports by providing dedicated fields on the dashboard. This reduces manual work and minimizes errors.
Steps to Use Special Reporting:
Access the Special Reporting Section:
Navigate to the dashboard and locate the Special Reporting section below the unit status. This section contains two text fields for reporting.
Activate Reporting Fields:
To use a reporting field, turn the toggle switch ON. This will reveal the relevant text field for input.
Edit Reporting Fields:
Enter the necessary information in the text field. Remember, all users with access to the unit can toggle the switches and edit the text fields.
Save Changes:
The system automatically tracks who edited the text field and when. This information is displayed in the UI to show the most recent changes.
Deactivate Reporting Fields:
To clear a field, turn the toggle OFF. A confirmation pop-up will appear, and confirming will erase the text. Note that upon turning the toggle back ON, the field will be empty, and the author of the last change will be recorded as the person who confirmed the text removal.
Exporting Reports:
Requesting the Report:
Contact support to request the Excel report download.
Processing the Excel Report:
Utilize filters in the Excel report to tailor the data to your needs:
Remove unnecessary columns (e.g., exclude 'Monthly Highlights' when creating an Executive Report).
Filter by unit type if needed.
Filter by toggle position (e.g., filter 'Executive Summary Toggle' by "On").
Filter by report date (e.g., 'Executive Summary Provided At' by a specified date).
Optionally, filter by status color (e.g., include units with a Red status).
Apply any additional filters as required.
Finalizing the Report:
Copy the filtered data to a new file and distribute it to relevant parties
The columns list:
Unit Name
Link to the unit
Unit Type
IT Delivery AVP

In the "Executive Summary Toggle (On/Off)" and "Monthly Highlights Toggle (On/Off)" columns, if the toggle is off, you might see either "Off" or an empty cell. The empty cell simply means the toggle hasn't been used yet.
Implementation Note:
When exporting content from rich text editors, such as those used in 'Go to Green' statuses, the text is converted to plain text to ensure compatibility across platforms. This process maintains essential information while removing styling.
