Action Items

 

Concept of Action Items

 

You can create action items in Health to track any important tasks, for example, ones that are related to action plans dedicated to making improvements in some areas of delivery, or mitigating risks etc.

 

Besides action text itself, action items have a deadline (due date), and can be assigned to a responsible person.

Note: Certain elements and widgets are subject to configuration and may appear different from what you see in your specific installation.

 

You can create them in the following Health widgets:

If you have an action item created for yourself or assigned to you, the Health application sends you notification emails (if configured for your application) in the following cases:

  • Assignment. As soon as somebody assigns you an action item, the system notifies you.

  • Due Date. Two business days before the due date of an action item in the Opened state.

  • Overdue Action Item. If at the due date time, an action item is not in the Done state, the system notifies you by email.

UTC Time Settings for Due Date

The system uses UTC time independently of your time zone, or time zone of the assignment creator. An action item becomes overdue in 00:01 UTC time of the due-date day.

 

 

How to Use Action Items

You can create, complete, re-open, edit, or delete Action Items:

Create Action Item

This section describes how to create a check-boxed action item with assignee and date in the Overall pane. The same procedure applies to sub-status cards and Risk Strategy Description.

To create a check-boxed action item:

  1. Click the Overall pane to call the formatting toolbox. To create an action item, you can also type [] in a new line, and then press the Space key.

  2. In the toolbox, click the check box icon. A check box appears on the Overall pane.

  3. Type name of the action item.

  4. Using the system prompt, select the assignee.

  5. Using the system calendar prompt, select the date. Otherwise the system applies default due date in 30 days from the date of creation.

  6. Click Save.

 

Complete/Re-open Action Item

Complete an action if it is done, or re-open it if it appeared to be not completed yet.

Navigate to the Actions Page and choose appropriate status in the State column, or, navigate to a source of an action item and follow the instructions below.

 

To complete an Action Item in Overall or sub-status card:

  • Click the respective checkbox and then Save or click outside the text box.

 

To complete an Action Item in the Risk Strategy Description:

  1. On the Risks page, click the required Risk, and then, in the Risk Details dialog box, click Edit

  2. In the consequent Edit Risk Details dialog box, select the checkbox of the required action item.

  3. Click Save.

 

 

Edit Action Item

You can edit text, assignee and due date of any action item. To do this, open it’s source (status-card, risk, annotation card) and open its edit mode.

 

To edit an Action Item in Overall or sub-status card:

  • Click the required Action Item and edit it directly.

 

To edit an Action Item in the Risk Strategy Description:

  1. On the Risks page, click the required Risk, and then, in the Risk Details dialog box, click Edit

  2. In the consequent Edit Risk Details dialog box, modify the required action item.

  3. Click Save.

 

 

Delete Action Item

The procedure of deleting an Action Item depends on item-containing widget. In the Risk Strategy Description, you need to go to the Edit mode.

 

To delete an Action Item in Overall or sub-status card:

  • Click the required Action Item and delete it directly (its text and check box).

To delete an Action Item in the Risk Strategy Description:

  1. On the Risks page, click the required Risk, and then, in the Risk Details dialog box, click Edit

  2. In the consequent Edit Risk Details dialog box, delete the required action item.

  3. Click Save.
